Credit Orders

Credit Orders are used to make adjustments to invoiced sales orders. When items are returned or a price adjustment is needed, a credit order is entered to create a credit invoice to record the adjustment and return the item to inventory. The difference between a credit order and a credit memo is that the credit order becomes a credit invoice, and will affect your gross margin reports. A credit order can return an item to inventory or just credit value of the inventory up to the original invoice price. A credit memo has no effect on gross margin reports and will not return an item to inventory.

Credit Order Fields
  Header Fields
Customer The ship to customer ID code.
Name

The ship to customer's name.

Order

The reference number of the credit order. New credit orders will have "NEW" appearing until they are completed. The status of the credit order will appear to the left of the Order Number field. The valid credit order statuses are:

  • OPEN – The credit order is opened but not approved to invoice.
  • APPROVED – The credit order is approved but not made ready to invoice.
  • READY – The credit order is ready to invoice.
Invoice The invoice number being credited.
Opened

The date the credit order was originally entered – defaults as the current system date – today's date.

Order An optional note that can be entered to print on the Credit Order. The note will print in the order/invoice note section of the credit order.
Invoice An optional note that can be entered to print on the Credit Invoice. The note will print in the order/invoice note section of the credit order.
Credit Date The date of the credit order. The date will default in based on the Invoice Date for Credit Orders flag setting in Receivables Options . The date will be either today's date or the date of the original invoice.
Reason The reason the credit order was issued based on the reasons define in the Credit Order Reasons table.
Sales Rep The sales rep id and name of the sales rep associated with the credit order.
Cust PO (Optional) The customer purchase order number. The customer PO will default from the original invoice.
  Line Fields
Item The item code for the item being credited.
Item Name The item name.
Cool The country of origin (COOL identity) of the item.
Type Return = the item on the credit is being returned and will be added back to inventory, Credit = the item on the credit order is for a price adjustment only and will not be added back to inventory
Price The amount of the price adjustment for a credit only credit order line or the amount invoiced on the original invoice if the item is being returned and the invoicing unit of measure for the item on the credit order.
Quantity The quantity being credited and the unit of measure based on the invoicing unit of measure for the item on the credit order.
Lot Number

The location and lot number or number of lots returned if more than one lot is being returned. If the item is unlotted, "No Lots" indicate that the original order is uncosted so the returned item does not have any lots to return.

 

Status

The quantity returned and status of the returned credit order line.

  • An "Open" status indicates that the returned item has been costed on the original invoice but not added back to inventory because the credit order has not been made Ready. The inventory will be returned to the lot selected when the credit order is made Ready and the cost will be based on the original invoice cost.
  • An "Uncosted"or "Invoice not Costed" status indicated the item being returned was not costed on the original invoice and the cost will be assigned to the returned item based on the cost of the original invoice when the credit order is made Ready.
  • A "Costed with Invoice"status indicates that the credit order was costed along with the original invoice when the Credit Order was made Ready.
